ACCESS TO CONTACTS, CALENDAR & EMAIL

Zoom.ai Inc. (“Zoom.ai”) asks your permission to access your contacts, calendar, and email (headers). You can always revoke access at any time by clicking on “Delete Account” in the Settings Page. If you revoke access, Zoom.ai will no longer retain information about your data, or have access to it. Zoom.ai does not send emails from your email address as communications sent to your contacts will be from the automated assistant’s email address.

Zoom.ai does NOT sell your data, individually or in aggregated form.

DATA USE 

Your data is stored in our secured servers. Some of your data maybe sent to vetted third parties to assist with providing you with the Zoom.ai services. Separately, we retain the right to share data with government agencies to satisfy applicable law, regulation, legal process or enforceable governmental request.

Access to your data allows Zoom.ai to learn your preferences which helps your automated assistant provide you with the best experience available with today’s AI capabilities.

DATA USE REGARDING GOOGLE

To provide certain features, we require access to various Google APIs and data. These are subject to Google’s Privacy Policy.

GOOGLE DRIVE

Zoom.ai requires integration with your Google Drive account. Information (such as viewing and managing your documents) from Google Drive will be used to power our Search and Document Generation features.

GOOGLE MAPS

To provide our mapping services, we make use of various Google Maps APIs.

GOOGLE CONTACTS

As a necessary complement to our scheduling features, Zoom.ai employs the use of your Google account to access your Google profile as well as your Google contacts and their profiles. In this case, you authorize Zoom.ai to access your Google contacts. Your Google contacts will still be stored at Google, and not within Zoom.ai.

Please note also: The process of accessing your Google contacts is set up (thanks to OAuth) to make sure that Zoom.ai at no time has access to your Google password.

GMAIL EMAIL HEADERS

Zoom.ai will have access to your sent e-mail message headers (message bodies are not stored) for messages you send. Zoom.ai will use this data to find out who you are interacting with so we can give you a better AI experience.

CALENDAR INTEGRATION

A main feature of the Zoom.ai solution is scheduling. You can connect Zoom.ai with your Google calendar to make the scheduling process even easier and more efficient. There are two types of calendars: online and offline.

Online calendars such as Google Calendar are constantly accessible via their respective interfaces. Zoom.ai can, and at times, will store certain calendar data temporarily to improve performance (caching).

In either case, calendar data on Zoom.ai can be deleted at any time.

GOOGLE TEXT-TO-SPEECH

For our newly released Transcribe Call feature, we use Google’s Text-to-Speech (TTS) API. TTS does not collect any personal identifiable data about its users.

GOOGLE FLIGHTS

Zoom.ai’s Flight scheduler feature requires us to use the QPX Express API from Google. All data is subject to the general Google Privacy Policy. Some data entered for flight booking will be stored to help Zoom.ai learn your preferences, which helps your automated assistant provide you with the best experience available.

ACCESS CONTROL 

We restrict access of your personal information to Zoom.ai employees, contractors, and agents who need to know that information in order to process it for us. All of these individuals are subjected to strict contractual confidentiality obligations and may be disciplined or terminated if they fail to meet these obligations.

TERMS OF USE

Zoom.ai Inc. (“Zoom”) provides various services (collectively, the “service”) to you, the user, subject to your compliance with all the terms, conditions, and notices contained or referenced herein (the “Terms of Use”).

BY USING THIS SERVICE, YOU AGREE TO BE BOUND BY THESE TERMS OF USE. IF YOU DO NOT WISH TO BE BOUND BY THE THESE TERMS OF USE, PLEASE STOP USING THE SERVICE NOW. YOUR REMEDY FOR DISSATISFACTION WITH THIS SERVICE, OR ANY PRODUCTS, CONTENT, OR OTHER INFORMATION AVAILABLE ON OR THROUGH THIS SERVICE, IS TO STOP USING THE SERVICE AND/OR THOSE PARTICULAR PRODUCTS. YOUR AGREEMENT WITH ZOOM REGARDING COMPLIANCE WITH THESE TERMS OF USE BECOMES EFFECTIVE IMMEDIATELY UPON COMMENCEMENT OF YOUR USE OF THIS SERVICE.

We expressly reserve the right to change these Terms of Use from time to time without notice to you. You acknowledge and agree that it is your responsibility to review these Terms of Use from time to time and to familiarize yourself with any modifications. Your continued use of this service after such modifications will constitute acknowledgement of the modified Terms of Use and agreement to abide and be bound by the modified Terms of Use. However, for any material modifications to the Terms of Use or in the event that such modifications materially alter your rights or obligations hereunder, such amended Terms of Use will automatically be effective upon the earlier of (i) your continued use of this service with actual knowledge of such modifications, or (ii) 30 days from publication of such modified Terms of Use on this service. Notwithstanding the foregoing, the resolution of any dispute that arises between you and Zoom will be governed by the Terms of Use in effect at the time such dispute arose.

CANCELLATIONS 

You can cancel your service with Zoom at any time. Ava will miss you, though.

TERMINATION OF SERVICE 

Zoom reserves the right to terminate the service at any time — for any reason.

MICROSOFT BOT FRAMEWORK CODE OF CONDUCT 

When used with MSTeams or Skype, Zoom.ai is enabled by the Microsoft Bot Framework. The Microsoft Bot Framework is a set of web-services that enable intelligent services and connections using conversation channels you authorize. As a service provider, Microsoft will transmit content you provide to our bot/service in order to enable the service. In addition, your interactions with this bot/service are also subject to the conversational channel’s applicable terms of use, privacy and data collection policies. GENERAL DATA PROTECTION REGULATION (GDPR)

THE RIGHTS OF USERS

Users may exercise certain rights regarding their Data processed by the Owner (YOU).

In particular, Users have the right to do the following:

Withdraw their consent at any time.

Users have the right to withdraw consent where they have previously given their consent to the processing of their Personal Data.

Object to processing of their Data.

Users have the right to object to the processing of their Data if the processing is carried out on a legal basis other than consent. Further details are provided in the dedicated section below.

Access their Data.

Users have the right to learn if Data is being processed by the Owner, obtain disclosure regarding certain aspects of the processing and obtain a copy of the Data undergoing processing.

Verify and seek rectification.

Users have the right to verify the accuracy of their Data and ask for it to be updated or corrected.

Restrict the processing of their Data.

Users have the right, under certain circumstances, to restrict the processing of their Data. In this case, the Owner will not process their Data for any purpose other than storing it.

Have their Personal Data deleted or otherwise removed.

Users have the right, under certain circumstances, to obtain the erasure of their Data from the Owner.

Receive their Data and have it transferred to another controller.

Users have the right to receive their Data in a structured, commonly used and machine readable format and, if technically feasible, to have it transmitted to another controller without any hindrance. This provision is applicable provided that the Data is processed by automated means and that the processing is based on the User’s consent, on a contract which the User is part of or on pre-contractual obligations thereof.

Lodge a complaint

Users have the right to bring a claim before their competent data protection authority.

Details about the right to object to processing. 

Where Personal Data is processed for a public interest, in the exercise of an official authority vested in the Owner or for the purposes of the legitimate interests pursued by the Owner, Users may object to such processing by providing a ground related to their particular situation to justify the objection.

Users must know that, however, should their Personal Data be processed for direct marketing purposes, they can object to that processing at any time without providing any justification. To learn, whether the Owner is processing Personal Data for direct marketing purposes, Users may refer to the relevant sections of this document.

How to exercise these rights 

Any requests to exercise User rights can be directed to the Owner through gdpr.zoom.ai or via email at [email protected]. These requests can be exercised free of charge and will be addressed by the Owner as early as possible and always within one month.
